The Government of India has completed a significant digital shift by migrating approximately 12.68 lakh official email accounts to Zoho Mail, marking one of the largest email infrastructure transitions undertaken by a public sector system.

The Government of India has completed a significant digital shift by migrating approximately 12.68 lakh official email accounts to Zoho Mail, marking one of the largest email infrastructure transitions undertaken by a public sector system. The move is aimed at strengthening security, improving accessibility, and ensuring greater administrative control over official communication.

According to the Ministry of Electronics and Information Technology, the migration includes around 7.45 lakh email accounts belonging to Central Government employees, while the remaining accounts are managed by different ministries, departments, and affiliated organizations. This transition comes as part of a broader government initiative to modernise digital communication tools and reduce dependency on older or scattered email services previously used by various departments.

Minister of State Jitin Prasada confirmed the development and highlighted that security and data sovereignty were primary considerations behind the decision. He emphasized that even though the government has partnered with Zoho as the technology provider, the complete ownership and control of data will remain with the Government of India. This assurance addresses concerns about privacy and data hosting, especially at a time when sensitive communication and classified information require robust protection measures.

The government chose Zoho Mail after evaluating its compliance capabilities, security frameworks, and ability to meet large-scale administrative requirements. The platform is expected to provide enhanced features such as advanced spam protection, improved load management, streamlined server maintenance, and uniform interfaces across ministries. Officials believe this will help reduce technical inconsistencies and improve communication efficiency across departments.

The migration marks a significant improvement over earlier systems where many government employees used mixed email platforms, resulting in fragmented data storage and potential vulnerabilities. Consolidating under a single platform not only strengthens cybersecurity but also ensures that government IT teams can maintain better oversight and faster coordination.

Another key advantage of this transition is the consolidation of digital resources under the government’s governance framework. With Zoho Mail deployment, the government aims to achieve better monitoring of email usage patterns, enhanced auditing capabilities, and the ability to apply uniform security policies across all departments. This will help standardise data retention rules, improve response to cyber threats, and ensure quicker restoration during outages or security incidents.

The move is also expected to reduce long-term operational costs by adopting a more streamlined and manageable digital communication infrastructure. Departments will no longer have to maintain multiple servers or independent email systems, thereby reducing administrative burden and improving accountability.

Industry analysts view this development as a major step towards strengthening India’s digital governance ecosystem. With increasing reliance on online communication, the government’s focus on a unified platform aligns with broader national initiatives such as Digital India and cybersecurity modernization efforts.

While the transition is largely complete, officials noted that training sessions and onboarding support for employees will continue over the next few months to ensure smooth adaptation to the new system. The government believes that the shift to Zoho Mail will ultimately boost operational efficiency and improve the reliability of official communication nationwide.
